Summary:
We are seeking a reliable and organized Administrative Assistant to join our team.
The Administrative Assistant will play a crucial role in supporting the day-to-day operations of the company by handling administrative tasks, assisting with client communication, and ensuring smooth coordination between various departments.
Key
Responsibilities:

) Administrative Support Answer and direct phone calls in a professional manner.
Manage incoming and outgoing correspondence, including emails, letters, and packages.
Organize and maintain physical and digital filing systems.
Schedule appointments, meetings, and travel arrangements for management and staff.
Assist with the preparation of reports, presentations, and other documents.

) Client Communication Serve as a primary point of contact for clients, addressing inquiries and providing information about services.
Coordinate with clients to schedule consultations, site visits, and project installations.
Follow up with clients to ensure satisfaction and address any concerns or issues promptly.

) Project Coordination:
Assist project managers with the coordination of landscaping projects, including ordering materials, scheduling equipment, and managing subcontractors.
Maintain project documentation, including contracts, permits, and invoices.
Monitor project timelines and update stakeholders on progress.
4.
) Office Management Maintain office supplies inventory and place orders as needed.
Ensure the cleanliness and organization of the office environment.
Assist with the onboarding of new employees, including paperwork and orientation.
5.
) Financial Administration Assist with basic accounting tasks, such as invoicing, billing, and expense tracking.
Prepare financial reports and assist with budget management.
Qualifications:
Proven experience as an administrative assistant or in a similar role.
Proficiency in MS Office (Word, Excel, Outlook) and other office software.
Excellent communication and interpersonal skills.
Strong organizational and time management abilities.
Attention to detail and accuracy in work.
Ability to multitask and prioritize tasks effectively.
Experience in the landscaping or construction industry is a plus.
Education:
High school diploma or equivalent.
Additional education or certifications in office administration or related fields is preferred.
